We are looking for a confident, well-presented individual who can show a willingness to learn, an eagerness to assist and who demonstrates a sense of motivation and urgency.

GCSE in English and Mathematics is essential. HIgher qualifications such as A levels or BTEC in Information Technology and Business Administration desirable together with a demonstrable basic knowledge of Windows based applications, particularly Word, Excel and Outlook would suffice. An understanding of law would be advanatgeous but is not essential as training will be given.


Title:                Part Time Receptionist  (29 h/w)

Reports to:     Practice Manager  

Based at:        Hartlepool / Peterlee

Hours              8.30 to 5pm / 9.15 to 4.45pm


Job purpose:

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organisation. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. As this is also a customer service role, you should have a pleasant personality. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.


  • Greet and welcome guests as soon as they arrive at the office

  • Direct visitors to the appropriate person and office

  • Answer, screen and forward incoming phone calls

  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

  • Provide basic and accurate information in-person and via phone/email

  • Receive, sort and distribute daily mail/deliveries

  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

  • Update calendars and schedule meetings

  • Keep updated records of office expenses and costs

  • Perform other clerical receptionist duties such as filing, photocopying, I.D. checks, transcribing and faxing.


  • Proven work experience as a Receptionist, Front Office Representative or similar role

  • Proficiency in Microsoft Office Suite

  • Hands-on experience with office equipment (e.g. fax machines and printers)

  • Professional attitude and appearance

  • Solid written and verbal communication skills

  • Ability to be resourceful and proactive when issues arise

  • Excellent organisational skills

  • Multitasking and time-management skills, with the ability to prioritise tasks

  • Customer service attitude

Key responsibilities and accountabilities:


  1. Greeting clients on arrival and directing them to the appropriate fee earner

  2. Switchboard duties

  3. Re-directing voicemails received in a timely manner

  4. Audio Tying

  5. Logging and directing incoming faxes and incoming documents in a timely manner

  6. Logging and dealing with items for collection by clients

  7. Contribute to maintaining a safe and healthy working environment

  8. Contribute to maintaining and improving office procedures

  9. Ensuring compliance with Equality and Diversity Policy

  10. Any other duties which from time to time are required by the firm
